4. EMAIL

Electronic Mail (email) is a system which allows users of a computer network to send messages to each other. Users can usually:

  • Send a message to another user, or group of users.
  • Keep their messages in a mailbox.
  • Read, print and delete messages from their mailbox.

It is not only typewritten messages that can be sent using Electronic Mail. Pictures, music, videos, in fact almost any sort of information you can think of, can also be sent. Each user has to have his or her own address that other users need to know to send messages to him or her. Electronic mail is good because it is much faster that the ordinary post. It is also very accessible since you can read your email on any suitable computer anywhere in the world. On the other hand not everybody has an electronic mailbox at the moment, so you cannot use email to send messages to everyone, and you certainly can‘t send a parcel by email. There are many email service provider companies which allow any user to send and receive electronic mail like

PROCEDURES/STEPS FOR SENDING EMAILS

Sending an email typically involves several steps, and the exact process may vary slightly depending on the email service or email client you're using. Here are the general steps for sending an email using a standard email client (e.g., Gmail, Outlook, yahoo mail, Hotmail and Apple Mail):

1.     Open Your Email Client: Launch your email application or access your email service through a web browser.

2.     Log In: If you're not already logged in, enter your email address and password to access your email account.

3.     Compose a New Email: Look for a "Compose" or "New" button, usually prominently displayed on the email client's interface. Click or tap on it to create a new email.

4.     Address the Recipient: In the "To" or "Recipient" field, enter the email address of the person or people you want to send the email to. You can separate multiple email addresses with commas.

5.     Enter a Subject: In the "Subject" field, provide a brief and descriptive title for your email. This helps the recipient understand the content or purpose of the message.

6.     Compose Your Email: In the main body of the email, type your message. You can format the text, add links, and include attachments as needed. Most email clients offer formatting options similar to word processors.

7.     Attach Files (if needed): If you need to send files, look for an "Attach" or "Attach Files" button, and select the files you want to include. This is typically represented by a paperclip icon.

8.     Check Your Message: Review your email to ensure it's complete and accurate, including the recipient's email address, subject, and content. Make any necessary edits or additions.

9.     Send the Email: Look for a "Send" button, often located at the bottom of the email composition window. Click or tap it to send your email.

Confirmation: Once your email is sent, you may see a confirmation message. Some email clients will display a notification confirming the successful delivery of your email. 11. Check Your Sent Items: To verify that the email was sent, you can go to your "Sent Items" or "Sent Mail" folder, depending on your email client. There, you'll find a record of the email you just sent.
